Services & Fees
How do you charge? (flat fee, hourly, percentage)
All levels of services – Wedding Day Management, Silver, Gold, and Platinum – will be initiated based upon a flat fee (an agreed upon dollar amount corresponding to the particular level of service), 50% of which must paid in up front. Should you desire services that go above and beyond that which is set forth in your contract, we reserve the right to charge you additional fees based either upon: (1) an hourly rate (a predetermined amount chargeable for my services); or (2) a percentage of the entire wedding budget.
How many times will we meet and how long will each meeting last?
For all levels of services, we offer a complementary initial face-to-face consultation to precisely determine your desires and expectations.
Wedding Day Management Services include up to two additional face-to-face consultations. You may also communicate with us via telephone, e-mail, fax, or other electronic means at no additional charge.
The Silver, Gold and Platinum Services all include unlimited face-to-face consultations. You may also communicate with us via telephone, e-mail, fax, or other electronic means at no additional charge.
In general, meetings will last as long as necessary to meet the parties’ objectives.
Will you charge an extra fee to be at our rehearsal?
No. Attendance at the rehearsal is included in the price regardless of what level of service you choose.
How many hours are included with your package?
We include a minimum of two consultations where we will discuss specifically what you need and expect from us. After those expectations are expressed, we will spend whatever hours it takes to complete those tasks to your satisfaction.
How many hours are you on site the day of the wedding?
How ever long it takes to prepare, manage and clean up what is necessary.
Do you help with setup and tear down?
If needed YBD will assist with both functions for an additional fee. Most of the time vendors will not need help or refuse help to ensure the perfection of their product.
Will you help with the processional and recessional?
We will be there to manage the operations and timeline wedding and reception.
Do you charge for expenses or travel?
We do negotiate a travel fee for any wedding over 30 miles away. This is usually a flat travel fee plus two rooms for two nights.
What is the average amount?
It varies depending on location and level of service we are providing. All price quotes are given after initial consultation.
What is your coordination fee?
Our week of coordination fee starts at $750. This fee included two pre-wedding meetings. Additional fees are added at different levels.
Does the fee include the day of the wedding?
This fee includes rehearsal and day of wedding.
What won’t you help with?
YBD is a full-service wedding production company that specializes in making the dreams of our brides come true. There is nothing we cannot do, just ask!

Wedding Day / Week
How will you be dressed?
The style of your wedding will generally dictate how we dress, whether your wedding is casual, black-tie, formal, or semi-formal.
Have you worked at our venue before?
We have worked in many venues in Central Pennsylvania and across the Middle Atlantic states. If we have not worked at a specific venue, we will take the time to familiarize ourselves with the site and meet with the site owners/managers to ensure that all aspects of the wedding, including the logistical, budgetary, and aesthetic concerns, are addressed well in advance of the wedding day.
What time do you arrive on the wedding day and what time do you leave?
We will arrive in ample time prior to the start of the wedding to ensure that all the vendors are at the site to set up and the bride, groom and other participants have everything they need for the day.
What is included in your service levels?
We have a detailed list of services we provide in the “Our Services” area of our website. All items can be negotiated.

Vendor Relations
Will you contact our vendors before the wedding?
If you are a bride who has a list of preferred vendors, we will work with you to develop a timeline and make sure your vendors provide their services in accordance to that deadline.
Do you have a preferred vendors list?
Yes. We have a list of preferred vendors who will often offer great products at great values. Keeping your budget in mind, we will suggest vendors who will be best able to meet your needs and expectations.
If we give you the payments for our other vendors, will you pay them?
We use a detailed form to know which vendors get paid and the amount to tip specific vendors. This form is signed by each vendor to accept payment.

Odds & Ends
Are you a registered business?
Yes. Your Big Day Wedding Planners is a subsidiary of IMPACT Events Group, which is incorporated under the laws of the Commonwealth of Pennsylvania.
Can you handle last minute changes and emergencies?
In that your wedding will have been planned with great detail from the start, there ought not be any unanticipated changes. However, any professional wedding coordinator knows to expect the unexpected. That being said, we believe that our fifteen years in planning and producing many successful special events has trained us to handle “surprises” with proficiency, grace and professionalism.
If we cancel our contract, will we get all or any of our deposit back?
If you choose to cancel your contract or the wedding or event does not occur, you will still be responsible for paying the entire flat fee.
Are you discreet or are you like Martin Short from the movie "Father of the Bride"?
As with most Hollywood movies, stereotypes and characterizations can be over the top. Our job at YBD is to stand in the background and manage the timing and flow of the event, anticipate problems and not be seen so the bride and groom and their families can shine.
How many full-service weddings to you personally coordinate each year?
Coupled with corporate events, holiday parties and tourism based events, Your Big Day Weddings has the enviable option of accepting special weddings during the year. To ensure our outstanding customer service our capacity is 24 weddings per year.
What type of formal training have you had?
As with all wedding planners with 15+ years experience, our experience comes from live wedding production. We also join and attend various event production associations and constantly keep up with latest trends and products.
Do you employ other people to help you plan events?
When necessary we have dedicated and trained staff to assist with event production.
Is there an extra charge for additional staff?
We charge $150 per person for wedding production per day. Other hourly charges may apply for specialized staff. (valets, chefs, decorators, etc.)
What if you become ill or cannot come to the wedding? Who will stand in for you?
We have a list of planners who are qualified and able to take over in any situation.
What is the largest wedding you’ve managed?
The largest guest list was 300+. The largest budget was $150,000.
Will you bring an emergency kit?
YBD has a basic emergency kit of the most used and most lost items. If you would like additional items, you are more than welcome to purchase those items and we will keep on hand.
